Choose what you are measuring
Report Builder supports lead, appointment, sales, sales performance, call center, and marketing ROI reports. Choose the type that matches your question: sales revenue comes from sold jobs, while appointment quote amounts describe visit-level offers.
Available columns and filters depend on report type. Configure date range, columns, filters, grouping, and sorting; save a template when you need the same view repeatedly.
Validate with known records
Start with a narrow date range and a few records you can manually verify. Confirm the relevant date field, employee assignment, source, status, and amount. A complete-looking report can still be wrong if the input fields are missing.
- Step 1: Pick a question and matching report type.
- Step 2: Set the date range and review the date field being used.
- Step 3: Add only the filters needed for the question.
- Step 4: Choose useful columns and sort/group options.
- Step 5: Run the report and reconcile a few rows with their lead or job records.
- Step 6: Save the configuration as a named template.
- Step 7: Export using the available CSV/PDF controls and review the exported output before sharing.
Sales and marketing checks
Closing ratio is completed appointments with a linked won result reason divided by all completed appointments run. Lost and pending outcomes remain in the denominator; cancelled and no-show appointments are not runs. The selected period uses the appointment’s scheduled date, not the job’s sold date. The per-rep table groups by the appointment’s assigned salesperson. Missing result classifications or results on non-completed appointments make the affected ratio unavailable until corrected; they are not silently treated as losses. The overall Close Rate card covers all available appointment history, while charts and the rep table use their displayed period. Job revenue depends on actual sale amounts and sold dates. Marketing ROI requires source attribution and marketing costs for the matching period. Missing costs or sources can make a channel look artificially profitable.
Company Numbers on Today supports previous months, previous years and inclusive custom dates. All its totals, closing ratios, source activity and sales chart use the selected date window in the company timezone. Marketing spend is stored monthly; the source table includes the full cost of calendar months overlapping a custom range and explains this beside the table. Completed visits with missing results remain in the dashboard closing-rate denominator and are labeled separately; scheduled, cancelled and no-show visits do not suppress that dashboard percentage.
Operating statements and job profitability depend on recorded product, tax, commission, and installer costs. Customer payment totals are a separate measure from sale amount. Recorded job sales and unlinked jobs are displayed separately from appointment wins: importing a sold job does not manufacture a linked appointment outcome or a closing-ratio win. Correct verified historical results through list_appointment_result_reasons and set_appointment_result_reason when authorized; that correction tool does not create a job, change appointment status or send messages. Never run new-sale confirmation merely to backfill a historical outcome, because a job may already exist.
Export a professional PDF
In PDF settings, choose portrait or landscape, US Letter or A4, and comfortable or compact table spacing. Include the summary and charts, detailed records, or both. The Preview tab renders the actual PDF; refresh it after changing settings.
Every selected column is included. Wide reports use numbered column sections with the first field repeated for reference. Data-page headings and page numbers repeat automatically. Exports show the number of included records and warn when the export limit excludes matching records.
Bar and pie charts rank categories by value. Large pie charts combine remaining categories as Other; other charts state their category limit. Line charts follow the report order rather than implying a time series. Review the selected measure, category ordering, and underlying records before sharing.
AI-assisted reports
The reports area includes AI assistance, but it requires a configured AI service. Review its proposed filters and columns before relying on the output. This reporting assistant is separate from the scoped MCP setup connection and does not imply that your external assistant can access reports.
