Kinetic View · Best ROI Media LLC
Privacy Policy
Last updated October 24, 2026 · Web, iPhone, iPad and Android
This policy applies to Kinetic View on the web, the Kinetic View app for iPhone and iPad, and the Kinetic View app for Android. See also our Terms of Service.
1. Scope and contact
Kinetic View is operated by Best ROI Media LLC, 700 Louisiana St Ste 3950, Houston, TX 77002. This policy covers kineticview.io, the Kinetic View web CRM at app.kineticview.io, the Kinetic View app for iPhone and iPad (io.kineticview.admin), the Kinetic View app for Android (io.kineticview.crm), and our help and support services. More detail about the mobile apps is in the Kinetic View app privacy details linked below.
Contact privacy@kineticview.io for privacy questions or data requests, support@kineticview.io for account help, and security@kineticview.io for security concerns. Companies that use Kinetic View control the customer records they enter and their team’s access to those records; for those records we act as a service provider to that company.
2. Information we process
Account and company information: names, work email addresses, optional phone numbers, company details, roles, password hashes (never plain passwords), sign-in sessions, linked Google or Apple sign-in identifiers, subscription status and messages you send to support.
CRM records your company enters or imports: customer and prospect names, phone numbers, email and property addresses, lead sources, appointments, messages, call records, notes, estimates, contracts and signatures, jobs, sales and payment amounts, costs, documents, photos and other files.
Technical information: IP addresses, browser or device type, app version, requests, errors, security and audit logs. If you allow notifications in a Kinetic View app, a device push token (see Push notifications).
3. How information is used
We use information to provide and secure accounts, enforce company and role permissions, store and show your CRM records, send the communications and notifications your company sets up, process subscriptions, provide support, prevent abuse and improve reliability. We do not sell personal information or CRM record contents, and we do not use your customers’ information for our own advertising.
4. Subscriptions and payments
Each company has one subscription with unlimited users. On the web, subscriptions ($49.99/month) are processed by Stripe. In the iPhone and iPad app, subscriptions ($49.99/month) are Apple in-app purchases processed by Apple. In the Android app, subscriptions ($49.99/month) are Google Play purchases processed by Google.
Stripe, Apple and Google handle your payment details; Kinetic View never receives or stores full card numbers. We receive the subscription status, product, renewal and expiry dates and transaction identifiers needed to verify the purchase, link it to your company and keep access working. Apple and Google purchases are linked to your company with an anonymous account token, not your name or email.
5. Hosting and service providers
CRM backend services run on Amazon Web Services (Amazon EC2), with the database on private Amazon RDS in the United States. Uploaded files, PDFs and attachments are stored privately in Cloudflare R2. The website and web app are delivered through Vercel.
We also use: Resend to send account and company emails; Stripe, Apple and Google for subscriptions; Apple Push Notification service and Firebase Cloud Messaging for app notifications; Google Maps/Places for address suggestions; PostHog for product analytics; and the AI providers described below. Providers process information only as needed to perform their service and under their own terms and privacy policies, and may process it in the United States and other locations.
6. Texting, email and other connected services
Companies can connect a texting provider, SimpleTexting or Twilio. Messages, phone numbers and delivery and opt-out information are then processed by that provider. Email that a company sends from Kinetic View is delivered through Resend, which processes recipient addresses and message content. Lead sources, calendars, Best Estimator and other integrations exchange only the information needed for the connection you turn on. Opening directions, a phone call or an email passes the selected details to the app you choose.
We do not share mobile phone numbers or SMS opt-in consent with third parties or affiliates for their marketing or promotional purposes. Providers process phone numbers and consent records only to deliver requested messages and handle opt-outs. To stop texts from a company, reply STOP or contact that company.
7. Push notifications
If you allow notifications in the Kinetic View app for iPhone, iPad or Android, the app sends our server a device push token together with your user and company, the platform and the app version. We use it to send notifications through Apple Push Notification service (iPhone and iPad) or Firebase Cloud Messaging (Android), for events such as a lead, appointment or task assigned to you, a customer reply, a signed estimate, a new-lead alert or a reminder that is due.
Notification text is kept short and never includes message bodies or dollar amounts, so nothing sensitive appears on your lock screen. Every user can turn each notification category off in the app, or turn notifications off entirely in device settings. Signing out or turning notifications off removes the token from your account, and tokens that Apple or Google report as no longer valid are deleted.
8. AI features and assistant connections
Guided setup uses the answers you enter and asks you to review changes before applying them. Help search returns published guides. Neither feature sends your questions or setup answers to an AI model. The separate report-builder assistant sends your conversation, plus your company’s lead source and status names and the current date, to Anthropic (Claude) to suggest a report, only when you use that feature.
An admin can connect an outside AI assistant (for example Claude, ChatGPT/Codex or Grok) to the company workspace through MCP with a revocable key. That assistant can read and act on the CRM information its permissions allow, and its provider processes that information under its own terms and policies. Review permissions, revoke connections you no longer need, and avoid sending unnecessary sensitive information to any AI tool.
9. Google and Apple sign-in
You can sign in with email and password, Google, or Apple. If you choose a provider, we receive its verified account identifier, email and, when supplied, name. We do not request access to Gmail, Drive, contacts or other provider data. Apple may supply a private relay address if you choose Hide My Email. Apple authorization tokens are encrypted on our server so we can revoke access when your account is deleted.
11. Optional product analytics (web)
With your permission through Cookie preferences, we use PostHog (US cloud) to measure which screen categories are visited on our website and web app. Events use a random identifier kept for your browser session. We do not send account names, email addresses, customer records, document contents, record identifiers, URL queries or fragments. With the same consent, masked session replay records interface interactions to diagnose usability problems: all text, inputs and attributes are masked; images, documents, media and signature canvases are blocked; and network bodies, headers and console logs are excluded.
On our public website and signup page, page-view events may also include how your visit started: the utm_source, utm_medium and utm_campaign tags of the link you arrived on (lowercased, up to 100 characters) and the domain of the referring site, never its full address. That first-visit source is kept in a first-party cookie that expires when you close your browser. Automatic click capture, surveys, error capture and person profiles are disabled, and IP geolocation enrichment is not requested.
Declining or withdrawing consent stops analytics, and we honor Do Not Track and Global Privacy Control. Earlier advertising-cookie consent does not turn on analytics. The Kinetic View mobile apps contain no analytics SDK.
12. Product milestone events (server)
To see where new companies get stuck, our servers (not your browser or the apps) send PostHog a small set of company-level milestones, each at most once per company: signup started, email confirmed, setup path chosen, business setup completed, first estimate created, first contract signed, subscription started and subscription ended.
Each event is identified only by a one-way keyed hash of the company’s internal ID, never the ID itself, a person or an email, so it is not linked to anyone’s identity. Events carry only the milestone, its time and limited non-personal details: the sign-up method (email, Google or Apple), the setup path, the subscription provider (Stripe, Apple or Google) and whether the founding-member price applies. They contain no names, contact details, addresses, customer or homeowner information, document contents or amounts; person profiles and IP geolocation are disabled and no IP address is sent. Only if you allowed optional analytics does the signup event also include the campaign tags and referring domain described above. We use these events only to improve onboarding and the product, not for advertising.
13. Advertising measurement (website)
Kinetic View does not display ads, and private CRM pages and the mobile apps contain no advertising tags or SDKs and do not access advertising identifiers. To measure our own ad campaigns, our public marketing, help, security, signup and billing pages can use the Google Ads tag and Meta Pixel, but only after you opt in through Cookie preferences; the Meta Pixel loads only on marketing, signup and billing pages. These tools may receive page URLs, referrers, IP addresses, browser details, cookie identifiers and events such as page views, sign-ups and subscriptions, and the providers may combine them with information they hold under their own policies.
With your permission, we keep the ad click identifier and campaign tags from the link you arrived on (such as gclid, gbraid, wbraid and utm_ tags, never contact details) in a first-party cookie for up to 90 days and store them with a company created during that visit, so we can measure which campaigns lead to sign-ups and paid subscriptions. Where permitted, conversion reports may include hashed contact identifiers for matching; hashing does not make them anonymous. Declining prevents these browser tags and events and removes that cookie. We honor Global Privacy Control and Do Not Track for these events. You can change your choice at any time, use the advertising controls linked below, or email privacy@kineticview.io to opt out of targeted-advertising data sharing.
15. Retention and security
We keep information while your account is active and as needed to provide the workspace, resolve disputes, meet legal obligations and run security and recovery processes. Saved estimates, proposals and their revisions are kept until you or your company delete them. Access controls, encrypted connections, encrypted database storage and private file storage protect information, but no system can guarantee absolute security. See our security page for details.
16. Account deletion and data export
Anyone can delete their own login on the web, iPhone, iPad or Android from their initials menu → Security → Delete account. It is deleted immediately after you confirm with your password or an emailed code; business records stay with the company and show “Former team member”.
An admin can delete the whole company from Settings → Company → Delete company account (or Security → Delete company), after downloading its data: spreadsheets of customers, appointments, jobs, estimates, contracts and team, and a .zip of every stored file and PDF. Company deletion is immediate and permanent, removes all of the company’s records, files and team logins from the live service, and cancels a web (Stripe) subscription; App Store and Google Play subscriptions must be turned off in the store first.
Deleted data is removed from the live service immediately, and encrypted database backups containing it are erased automatically within 30 days. Signing out or uninstalling an app does not delete anything. You can also email support@kineticview.io or privacy@kineticview.io to request deletion without the app. See kineticview.io/help/account-deletion.
17. Your choices and rights
You can update your profile, ask your admin to correct CRM information or change your access, disconnect integrations and AI connections, turn off notification categories, change cookie choices, and request access, correction, export or deletion by emailing privacy@kineticview.io. If your information is in a company’s workspace (for example, you are a homeowner), contact that company first; we will help route the request. We may verify identity and authority before acting, and some records may need to be kept for legal reasons. Depending on where you live, you may have additional privacy rights; we will not discriminate against you for using them.
18. Children and policy updates
Kinetic View is a business service for adults and is not directed to children under 13 (or under 16 where that is the local threshold). Contact us if you believe a child has provided personal information. We may update this policy as the service changes and will show the new “Last updated” date here; for material changes we will also notify company admins.
