Scheduling and sales
Prepare proposals, work orders, and service orders
Customize reusable documents, fill project details, and download a reviewed PDF.
Prepare shared templates
Administrators open Settings → Document templates. Start with a proposal, work order, or service order and adapt the wording to your business. Templates are plain text with a fixed list of {{company}}, {{customer}}, and {{job}} fields; use the exact supported markers shown on screen.
- Choose a starter and name the template.
- Fill your usual scope structure, exclusions, responsibilities and reviewed company terms.
- Save the template. AI can propose these templates through MCP, but an administrator must approve the proposal.
Prepare a customer document
Open Documents, choose a saved or starter template, then select a customer or job you are allowed to access. Preview fills the supported fields from that record. Job fields require a job rather than just a lead.
- Review missing-field warnings and the customer/job details.
- Edit this document’s preview to complete project scope, materials, payment terms and dates.
- Download the PDF and review it before sharing with the customer.
Understand drafts and storage
Missing values and unfinished bracket instructions retain a DRAFT label. Preview edits do not update your shared template or customer record and are lost when refreshed. Save the downloaded PDF somewhere appropriate. This feature does not send documents, collect signatures, process payments, or store final-document history.
