Enter the sold work
For a sale from an appointment, save a completed won result, then use Confirm sold job. Verify sold amount, sold date, salesperson and job type before confirming. This creates the customer’s job and includes it in the Matrix by sold date; change the Matrix month range if the sale belongs to another period. A won result alone does not create a job. The customer’s Quotes & sold-job handoff area lets you finish a pending sale later. An existing linked job is reused on an exact retry rather than duplicated. Configured sold-job automations may run after confirmation, so review them before a test sale.
- Step 1: For work not coming through an appointment, open the customer’s Jobs section and use the available manual job form; do not add a second job for an already confirmed appointment sale.
- Step 2: Enter the actual sold date and total sale amount.
- Step 3: Choose the job type and enter your internal identifiers if used.
- Step 4: Add scope and handoff notes without including payment card data.
- Step 5: Assign the relevant sales and production people.
- Step 6: Set production dates when agreed, then save and review the job.
Keep dates and amounts meaningful
Sold date is used for sales reporting; production start date is used for scheduling; completion date records finished work. These are different milestones. Expected Days is a planning duration and should not be used as proof the job is complete.
If one customer purchases multiple projects, create separate jobs under the same lead so costs and payment records can remain distinct.
Production handoff checklist
Before handing off, confirm the scope, required products/vendors, installer assignment, scheduled start, expected duration, and open customer commitments. Ensure production staff can find the lead files and notes. Add dated reminders for unresolved questions rather than relying on a buried note.
