Production and costs

Use production scheduling, milestones, and the Matrix

Coordinate installers and material readiness through completion.

Prepare production settings

Platform: Web. Actions depend on your role and permitted records.

Add installer users in Team and define milestone types in Settings → Milestone Types. Milestone types have a name, order, active state, and color. Choose milestones that represent observable progress, such as Materials Received or Installation Complete.

  1. Step 1: Set up the products and vendors used on jobs.
  2. Step 2: Mark the relevant products for matrix tracking.
  3. Step 3: Create ordered milestone types.
  4. Step 4: Assign installers to a sample job.
  5. Step 5: Set its Production Start Date and Expected Days.
  6. Step 6: Review the production calendar and Matrix using that sample.

Use scopes, filters, and personal views

Platform: Web. Actions depend on your role and permitted records.

All active jobs includes unfinished jobs from every sold year. A completion date removes a job from this scope. Sold year includes jobs sold during the selected year, including completed work. Without a remembered saved view, the default opens the current sold month in the company timezone. The last saved view selected by your login reopens on the same browser. Use month selectors or a month range, including a recent-three-month range, to narrow a long year; search and other filters apply within the selected scope.

Use Waiting on materials, Ready to start, Unpaid balance, Open service, and Needs attention to focus the sheet. Ready to start requires confirmed starting requirements and all products required for that particular job received. Optional products can remain unordered. Scheduled and completed jobs are excluded. Open the job’s Production section or Matrix job panel to review requirements. Administrators, general managers and production managers can confirm manual jobs, including explicitly confirming no materials are required. Estimator contracts automatically confirm configured requirements; an empty or unconfigured list needs review. Changing the requirement list requires confirmation again. Readiness does not verify permits, crew availability or customer readiness unless your team includes those checks in its process.

Named views remember column visibility/order, frozen columns, search, filters, scope, sold year and month range in your account. The range filters sold dates, not production-start dates. They are private to your company and user, available across browsers/devices, and accessible to your explicitly authorized MCP operations connection. They are not shared team views. Click a customer to open the unified job overview without losing your place.

Understand attention and financial figures

Platform: Web. Actions depend on your role and permitted records.

Needs attention flags active jobs without production start dates, unreceived materials when a planned start has arrived or is within the next 7 calendar days, and incomplete milestones with explicit past due dates. An undated milestone is not automatically overdue. Dates are evaluated in the company time zone.

Estimated job margin uses adjusted contract value less recorded materials/tax, commissions, installer costs and explicit financial expenses, including recorded warranty snapshots. Refunds reduce net receipts rather than revenue; contract credits need a separate adjustment. Legacy service costs stay informational until explicitly included. Estimated fees are provisional, and overhead or unrecorded costs are excluded. Avoid counting the same service expense twice. Recording a payment does not process a charge.

If required data fails to load, refresh or contact support; do not treat an unavailable sheet as evidence that jobs have no costs or open service issues.

Use AI assistance with the Matrix

Platform: Web. Actions depend on your role and permitted records.

An administrator can create an AI connection with explicit job and service operations consent. Existing setup-only connections do not gain access automatically. An authorized MCP assistant can inspect Matrix filters and attention reasons, open a job overview, update supported production dates/notes, mark recorded materials ordered or received, set milestone completion or due dates, and list/save/delete its connection owner’s private Matrix views.

AI changes follow company and role permissions and require current record values. If a record changed, refresh it before retrying. Matrix inspection and production tools do not process payments or send customer messages. Separate authorized sales and financial tools can make explicit, revision-checked corrections; do not infer amounts or use a production update to change a sale.

Complete milestones and close work

Platform: Web. Actions depend on your role and permitted records.

Mark a milestone completed when the actual event has happened. Review the job completion date, outstanding materials, final payments, and customer follow-up separately. Completing a milestone does not necessarily update every other job field or send a customer message.

Use reminders for open production tasks and record important changes in notes so sales staff can understand the current situation.
