Keep loans separate from receipts
Open the job overview’s financials area. A financing record stores lender, loan reference, amount, optional annual rate and term, status, funding dates and notes. This tracks the loan; it does not submit an application, fund a loan or automatically record a customer payment. Never store bank credentials, card details or unnecessary sensitive borrower information.
Financing amounts are not another sale and do not become another receipt. Record received money as a job payment when it actually arrives.
Record verified costs explicitly
Add card fees, financing dealer fees, other costs or warranty costs as separate financial entries with amount, date and description. Fees may be marked estimated or actual. Selecting credit card or financing as a payment type does not infer a fee percentage or backfill historical fees.
An explicitly recorded warranty entry may snapshot a service ticket’s current parts and labor costs. Later ticket edits do not silently change that snapshot. Do not also enter the same expense as a material, installer or other cost. Existing service tickets stay informational until explicitly included.
Distinguish refunds from contract adjustments
A refund reduces net receipts; it does not reduce sold revenue by itself. An agreed credit that changes the contract needs a separately authorized contract adjustment. Adjustments may be positive or negative; refunds and expense entries require positive amounts. Original sale and gross-payment amounts are preserved.
Adjusted contract value is original sale plus contract adjustments. Estimated margin subtracts recorded materials/tax, commissions, installer costs and explicit financial expenses from adjusted contract value. Net receipts are gross payments less refunds. These are recorded figures, not audited accounting profit, and exclude unrecorded costs and overhead.
Correct and import carefully
Void an incorrect financial entry with an explanation, then record the correction rather than hiding its history. Read current revisions before edits. Stable idempotency keys protect retries from creating duplicate entries.
Authorized job/service MCP tools can read financials, record or void entries and maintain financing. Import financial entries and financing only from verified source values after linking the correct job. Neither MCP nor imports charges a card, issues a refund, submits a loan, or sends a customer message. Reconcile source totals and avoid importing the same expense in multiple categories.
