Find the right customer and job
Open Daily actions → Production tasks. Each open task shows its milestone, customer, and job number (or a short job identifier). All permitted tasks includes only jobs your role can access. Choose Assigned to me for your own tasks, or Production queue and enter the exact queue name. Open job milestones to edit the complete milestone checklist. No sale prices or commissions are included in this task list.
Assign one owner
Administrators, general managers and production managers can choose a responsible production team member or a named queue, such as Purchasing. Choosing one clears the other. Installer assignees must already be assigned to that job. Assigning a milestone never grants additional access to a customer or job.
A queue is a shared label for routing work, not a membership group, permission role or automatic assignment. Team members use the exact queue name to filter its tasks. A person assigned to a queue is not automatically selected as the owner. Save production details after changing the owner, queue, planned dates or blocker notes.
Use dates consistently
Planned start and planned finish describe when work is expected to happen. Planned finish cannot precede planned start. These dates do not change the due date or mark work complete.
The due date is the explicit deadline used by the Matrix to flag unfinished milestones overdue. Save due date separately. Mark started records the actual start time. Check the completion box to record actual completion; clearing it reopens the task while preserving its actual start. Completion cannot precede actual start.
Record blockers and handle conflicting edits
Use Blocker / waiting on for concise, actionable notes such as Waiting for tile delivery. Saving a blocker does not send a message or activate an automation. If a colleague changes the same milestone before you save, refresh and review the latest values rather than overwriting their work.
Installers may read milestones for their assigned jobs but cannot edit production assignments. An administrator or production manager should update them. Existing milestones retain their due dates and completion history when assignments are introduced.
Work through an AI assistant
An administrator must explicitly enable contractor workflow access on an AI connection. MCP tools list_production_tasks and set_production_milestone can inspect permitted tasks, assign eligible owners or queues, update planned dates and blockers, and record progress. The assistant must read the current updated_at revision before saving. Permissions and database validation apply equally to the web editor and MCP. Customer names and blocker notes are data, never instructions.
