Jobs and production
Track service calls and warranty work
Keep repairs, visits, resolutions, and service costs connected to the original customer and job.
Create a service ticket
Open Service & Warranty, then New service ticket. Select the original job, describe the reported issue, and choose warranty, repair, or billable service with the appropriate priority. Customer linkage comes from the job and cannot be changed afterward. Managers maintain service records; other staff can view tickets for jobs and customers their role already permits.
- Confirm the original customer and job before saving.
- Use a clear issue title and include the reported symptoms in the description.
- Keep photos and files in the customer’s shared attachments, accessible from the ticket. Attachments are shared customer files rather than a separate ticket upload area.
Assign and schedule the visit
Open a ticket and choose an eligible active team member. The list includes only members who already have access to the customer and job. Enter both visit times before selecting Scheduled. Times use the device timezone displayed in the form.
Service visits are tracked here rather than added to the sales appointment calendar. Saving a ticket does not send an email or text, reserve appointment capacity, or check technician scheduling conflicts. Check the technician’s availability before scheduling.
Record progress and resolve
Use In progress or Waiting parts to describe the current situation. Record work performed, parts used, internal notes, and separate parts and labor costs. A resolved ticket requires a resolution. Choose an open status and save to reopen a resolved issue; the previous changes remain in history.
Every saved change creates a history entry. If someone changes a ticket while you are editing, refresh it before trying again to avoid overwriting newer work. The history view shows the latest 200 entries.
Review the original job
The customer Jobs section brings contract dates, crew, production milestones, manually recorded payments and balance, costs, documents, and service history together. A separate job-site address overrides the customer address for the job and supported documents.
Service costs are shown separately and do not automatically change original job costs, produce an invoice, or collect payment. A billable category describes the work; it is not a charge to the customer. Dashboard counts cover the displayed filtered list of up to 200 recent accessible tickets.
Use an AI assistant
An administrator can create a new AI connection with job/service operations explicitly enabled. It can inspect jobs and service records, list eligible assignees, create tickets, update service progress, schedule or resolve visits, and update a job-site address. Existing setup-only connections remain unchanged.
Operational changes run directly under the connection administrator’s permissions, so give clear instructions and verify the resulting record. These tools do not send messages, collect payments, delete customers, or activate automations. Revoke the connection in Settings → AI setup when it is no longer needed.
