Lead setup
Set up sources, job types, products, and vendors
Create clean reference lists for marketing attribution, sold work, and production costs.
Lead sources and marketing attribution
Settings → Lead Sources defines where prospects came from. Sources can have parent/sub-source relationships, so a broad channel such as Paid Search can contain a specific campaign. Choose a consistent naming convention before importing.
Marketing costs are separate dated values. Record costs for the appropriate source, month, and year before relying on marketing ROI. A lead without a source cannot be attributed accurately.
Job types
Settings → Job Types supports a name, description, default duration in minutes, and active state. Use job types for distinct services such as bath remodel or window replacement. The default duration is a planning input; verify actual appointment times rather than assuming every visit will take that length.
Products and vendors
Settings → Products supplies product names, default prices, active status, and the matrix option. Settings → Vendors supplies supplier names and active status. Product costs recorded on a job should reflect the actual order, even when a default price exists.
- Create the vendors you regularly order from.
- Add products with realistic default costs and mark the appropriate products for matrix tracking.
- On a test job, add a cost item and choose its product and vendor.
- Review the entered price, tax, order date, and received status.
- Confirm the item appears where expected in job costs and the Matrix.
Avoid list duplication
Use one spelling per source, vendor, and product. CSV imports may match or create some named categories; normalize those names before import. An inactive choice may be absent from new-entry menus while still belonging to an older record.
