Match a role to the work
The Team screen lists Admin, General Manager, Call Center, Sales, Sales Manager, Production Manager, and Installer. Admin manages account configuration. Sales is intended for the calendar, assigned leads, and appointment results; Sales Manager coordinates salesperson assignments and reporting. Production Manager manages installer assignments and production scheduling. Installer focuses on assigned jobs. Call Center focuses on calling workflows.
Check the Role Permissions descriptions on the Team screen and verify the experience with an actual employee account. A role label is not a substitute for checking the records the employee can access.
Invite a person
An administrator can open Settings → Team → Add Team Member. Invitations require working account email delivery. If the platform reports that delivery is not configured, contact the account owner; repeatedly submitting the invitation will not fix it.
- Step 1: Enter the employee email, full name, optional phone, and role.
- Step 2: Review the email spelling and role, then submit once.
- Step 3: Have the employee open the invitation email and set their own password.
- Step 4: Ask them to sign in and confirm the correct company and navigation.
- Step 5: Assign an appropriate test lead or job and verify access.
Give login access, change an email or reset a password
Team members added during setup without an email are on the roster with No login. Open Settings → Team, edit the person, enter their email and choose Give login access: they get the invitation and choose their own password.
For someone who already signs in, a new email is Pending until they confirm it from the new address; the old one keeps working until then. Reset password either emails them a reset link (recommended) or sets a temporary password they must change at their next sign-in, which also signs them out everywhere. Admins can’t use these on themselves; use your initials → Security instead.
Maintain access when staff change
Edit the employee record when their name, phone, or role changes. Review active status when someone leaves. Each employee should use their own account so assignments and interaction history remain attributable.
Do not give an AI assistant an administrator password or invite it as a human employee. Use a scoped connection in AI setup instead.
An invitation did not arrive
Check spam folders and the exact destination address. Ask support to verify account email service availability. If the API reports an existing account, resolve that identity with the administrator rather than creating a second account with an altered email. Keep tokens and invitation links out of public tickets.
