Scheduling and sales

Schedule visits and record appointment outcomes

Keep the calendar, salesperson assignment, and result history aligned.

Create and assign an appointment

Platform: Web. Actions depend on your role and permitted records.

Appointments belong to leads and include date, start/end time, salesperson, appointment type, status, and notes. Available statuses include scheduled, confirmed, completed, cancelled, and no-show.

  1. Step 1: Open the correct lead and add an appointment or use the calendar workflow.
  2. Step 2: Select the date and available slot, then verify start/end times.
  3. Step 3: Choose the assigned salesperson and appointment type.
  4. Step 4: Include helpful visit notes and save.
  5. Step 5: Check the appointment on the calendar and confirm the assigned employee can see it.

Record what happened

Platform: Web. Actions depend on your role and permitted records.

After the visit, update the appointment status and result reason. Enter the quote amount where appropriate. Result reasons are configured in Settings and can map to lead status changes through Rules.

Completed means the appointment took place; it does not automatically mean the job was sold. Saving a completed won result opens Confirm sold job. Review the actual sold amount, sold date, salesperson and job type, check the confirmation box, then choose Confirm & create job. The won result remains saved if you choose Finish later, but no Matrix job is created until the sale is explicitly confirmed. Finish the pending sale from the customer’s Quotes & sold-job handoff section.

Reschedule carefully

Platform: Web. Actions depend on your role and permitted records.

Review the original appointment and its customer communications before editing or cancelling it. Confirm the replacement time and assignment, then check for outstanding reminders and automated notifications. Avoid leaving two active appointments when only one visit is intended.

Quotes versus jobs

Platform: Web. Actions depend on your role and permitted records.

A quote records an offer, amount, description, validity date, and status. A job records sold work and production/cost details. Do not treat a quote amount alone as completed revenue. Quote functionality should be used where the current screen exposes it; do not assume automatic e-signature, payment collection, or customer acceptance links.
