Lead setup
Import contacts and sold jobs from a CSV
Map your columns, preserve customer relationships, and prevent accidental duplicate imports.
Prepare and protect your source file
Settings → Import Data accepts CSV uploads for Leads & Customers or Jobs & Sales. Keep an untouched copy of the original export. Remove duplicate contacts in your source data first: the current importer does not automatically detect duplicates.
Use YYYY-MM-DD dates. Preserve postal codes as text so leading zeroes are not lost. Keep monetary values numeric and review any spreadsheet formatting before saving CSV.
Import leads first
The lead mapping requires First Name, Last Name, and Phone. Optional columns include Email, address parts, Notes, Lead Source, Status, Type (Prospect/Customer), Assigned To, and Date Added. An assigned employee must match an existing user by name or email.
- Choose Leads & Customers and upload a small sample CSV.
- Review every automatic column mapping, including fields with similar names.
- Map required fields, then preview the rows.
- Check source/status spelling and prospect/customer values.
- Run the sample import and review Imported counts and each row error.
- Open sample leads and compare their details with the original file.
- Import the remaining rows only after reconciliation.
Then import jobs
Jobs link to existing leads through customer email, phone, or name. Prefer an unambiguous email or phone; identical names can be misleading. Job fields include Job Type, Sale Amount, Sold Date, Completed Date, Salesman, and Notes.
Sale Amount defaults to zero when absent and Sold Date defaults to today. Supply these fields for historical data so revenue and period reports are accurate. Salesman must match an existing team member.
- Ensure the relevant contact records already exist.
- Map Customer Email or Customer Phone and review name matching where needed.
- Map sale amount and sold date explicitly.
- Preview a sample and import it.
- Open the linked job and verify the customer, dates, amount, and salesperson.
- Compare imported revenue and job counts to your source export.
Recover from partial results
An import can complete with issues while some rows have already been saved. Save the error list and correct only failed rows. Do not re-upload the entire successful file; that can create duplicates. If counts are unclear, pause and ask support to review the affected batch before continuing.
