Daily CRM work

Manage a lead and its customer history

Keep contact details, assignments, interactions, files, appointments, and jobs together.

Create a usable lead record

Enter the contact first and last name, phone, optional email, address, source/sub-source, job type, and notes. Choose the appropriate prospect/customer classification and lead status. Confirm the assigned employee and salesperson match who will actually follow up.

  1. Search for an existing contact before adding another record.
  2. Confirm phone and email with the customer.
  3. Select the source and job type rather than burying them in notes.
  4. Assign an owner and set the next action as a dated reminder.
  5. Save and reopen the lead to verify it appears in the intended list.

Use the timeline for context

The interaction timeline brings calls, text/email activity, notes, status changes, appointments, quotes, and reminders into one history. Add a concise note after a meaningful conversation: what the customer needs, what was agreed, and the next step.

A note that says “emailed customer” does not itself send an email. Use the email or SMS dialog for delivery and check the result.

Attach documents responsibly

Use lead files for photos and documents needed for the work. Upload through the lead record so the attachment remains associated with the right customer. Confirm it opens after upload. If an uploaded file fails, report the filename, approximate size, and error without sharing private customer documents publicly.

Before closing or handing off

Check appointment outcomes, open reminders, customer classification, job information, and assignments. Avoid creating a second lead to represent the same customer’s production work; jobs belong to the lead.
