Production and costs
Track job costs, commissions, installers, and payments
Record actual costs and customer payments so job totals can be reconciled.
Product and vendor costs
A job cost item can include Vendor, Product, Price, Tax, Ordered Date, and received status. Select configured products/vendors and replace default values with the actual cost. Keep tax separate when the form offers a tax field.
Mark receipt only after the material arrives. An order date or saved cost item is not confirmation that the product is available for installation.
People costs
Jobs support salesperson commission and installer costs, including related commission and installer entries. When more than one person is involved, review the full list rather than assuming the first displayed assignment is the complete cost.
Check the difference between commission cost fields and total commission before using an operating statement. Reconcile the entries with your compensation process.
Record customer payments
Job payments include Amount, Payment Date, Payment Type, and Note. Available types include cash, check, credit card, and financing. These are accounting records of payments; entering “credit card” does not process a charge.
Kinetic View subscription checkout pays for the CRM account. It is separate from recording payments your customers make toward their jobs.
- Open the correct job and add the received payment amount.
- Use the actual payment date and type.
- Add a non-sensitive reference such as an invoice or check reference.
- Save and compare the payment total with your external accounting/payment system.
- Check costs and sale amount separately when reviewing job profitability.
Correcting errors
Review the job before changing an entry, especially when reports have already been exported. Keep an explanatory note for a significant correction. Do not enter another positive payment to cancel a duplicate; resolve the erroneous record through the available edit/delete workflow and reconcile totals.
